Process & Automation

Stop and think about how your business works. Your procedures manual should be the authority but is it a high level series of statements referencing scores of documents and spreadsheets?

Could you draw the end-to-end flow-chart for all the work in progress around you? How do requests arrive and get analysed and turned into actions for the various departments?

Every hour there are thousands of small decisions, tasks, deadlines, approvals flowing through operations, finance, compliance. Over years this is corralled with checklists, authorisations, boxes to cross or initial and is now baked into your procedures manual. It is made visible in the forms and spreadsheets and emails that swirl through the office.

The challenge – how do you improve, optimise, scale up these processes? No-one wants to change what is working!

But there is a cost of doing nothing. Your competitors appear to move quickly; taking advantage of a clean slate or big shake-up to break things and re-build them. Meanwhile you accrue “technical debt” and add another checkbox on “Form 15A” and hope staff don’t use the older version they saved on their desktop.

We have experience of introducing modern processes, forms and workflow and addressing the operational issues of these changes. We understand the issues and build stakeholder engagement when introducing technology.

Examples of processes in Financial Services

  • account opening / closing
  • onboarding
  • approving payment / incoming funds
  • client risk assessments
  • periodic client reviews
  • documenting FATCA/CRS checks

These are just some examples of regular processes involving gathering documentation, getting signatures and recording decisions. Often done today with re-keying of data in spreadsheets or on printed forms and checkboxes to confirm things have been approved but no robust document control or audit. The evidence is often stored in one or multiple locations and often with poor security. Forms can be tampered with, accidentally moved or differ from items left behind in emails.

These are also examples of repeatable, high volume and high touch processes that our clients typically want moved into an electronic workflow system. Our experienced team have worked in-house and understand the challenge of moving to a new way of doing things. But we also have seen successful adoption and the benefits delivered.

How We Can Help

We work with configurable industry-leading software such as Laserfiche to reduce your supplier risk.

We encourage our clients to take on design roles to “co-create” the solution with us rather than deliver “a black box”. They are involved all the way.

We develop solutions with an iterative approach – refining the solutions with the feedback we get on-site.

We work long-term with clients but we also encourage Knowledge Transfer and building the understanding and capability in-house.  Your “process champions” will emerge from all areas of the business!
